ActiveDocs Limited announced today that TechnologyOne, a leader in provisioning of enterprise software to government, education, financial services, health, and utilities has implemented ActiveDocs Opus (Raptor version). The product has enabled rapid creation of solution specification documents, many of which are hundreds of pages in length. TechnologyOne chose to deploy ActiveDocs Opus in the cloud, on the Amazon Web Services platform, for ease of deployment, scalability, and interoperability with other TechnologyOne cloud services.
“We can put documents together in well under an hour now,”
noted Joel Fitzgerald, Solutions Architect at TechnologyOne. “Most of that time is taken by going through the rule-driven wizard steps. Once that’s done ActiveDocs builds the document. It’s very quick now. It was something we would have spent one or two weeks on. Condensing that into an under-an-hour task is pretty awesome.”
Jason Bonett, Solutions Director at TechnologyOne, added: “ActiveDocs is the piece of software that brought it all together for us. If we didn’t have ActiveDocs, we would still be maintaining documents in many different silos, we would still be faced with the same problems we had before.”
TechnologyOne already had a library of reusable content in their cloud-based content management system which supports the CMIS standard (Content Management Interoperability Services ). ActiveDocs Opus enabled TechnologyOne to utilize the existing content of over 900 documents from this cloud repository. Users can select the required sections of specification documents from lists that are pre-filtered based on set business rules. When new content or a document section is created in the content management system, it is automatically included in the relevant selection list within ActiveDocs Opus.
Skip Dostine, ActiveDocs’ VP Business Development for Australia and Asia-Pacific, said: “This implementation of ActiveDocs Opus is an example of how easy it is to deploy ActiveDocs Opus in a cloud-focused organization . At the next stages of the deployment ActiveDocs Opus will be rolled out to generate reports and documents across a range of TechnologyOne’s activities.”
Through the use of ActiveDocs Opus, different business units of TechnologyOne will be able to have access to their own content, which can be segregated from other parts of the business. Additionally, they will gain the ability to enforce approval processes and access audit trails. This will result in each business unit having full control over their document production and management of templates; may it be HR, Legal, Finance or Marketing.
